Mass Update Google Meet Rooms with New Bulk Calendar Tool

Managing a fleet of conference rooms just got a whole lot faster. Google Workspace rolled out a major efficiency update for IT admins: the ability to assign or unassign Google Calendars to Meet hardware in bulk.

For anyone managing dozens or hundreds of meeting rooms, the days of clicking into individual device settings to sync calendars are officially over. You can now handle your entire organization’s room-scheduling assignments with a single CSV upload.

The Feature: One CSV to Rule the Boardroom

Google has introduced a new column to the bulk update CSV file: assignedCalendarResourceEmail. This simple addition allows you to map specific room calendars to specific hardware units at scale.

Key Technical Rules to Remember:

  • Unassigning is Easy: To disconnect a calendar from a device, just leave the assignedCalendarResourceEmail cell empty for that row in your CSV.
  • One Room, One Device: While you can assign a personal calendar to multiple devices, a room calendar resource can only be linked to one Meet hardware unit at a time.
  • The "Two-Step" Move: If you want to move a calendar from Device A to Device B, you must first upload a CSV to unassign it, then perform a second upload to assign it to the new hardware.

Admin Checklist: Before You Upload

To ensure your bulk update doesn't hit a wall, keep these three requirements in mind:

  1. Permission Check: You must have the “Manage calendar assignment” privilege enabled in your Admin role. Without this, the calendar columns in your CSV will be ignored.
  2. Organization Units: You can still update settings and OUs in the same file; the calendar update is an additional layer of functionality.
  3. Accuracy: Ensure the resource emails match your Calendar directory exactly to avoid sync errors.
